Merentra Membership Terms
The terms that govern access to and use of Merentra.

1. The service
Merentra provides a professional account, a manual Professional Record with evidence and member-controlled exports, guided Practice preparation, Training progression and governed feedback, an Opportunities workspace with explainable matching and application planning, Work tools, imports, connected-source review, planning functions and related services. Learn and Professional Plus may be staged or pilot-only. Organisation capability is available only through controlled founding-pilot onboarding and a separate agreement. Native iOS and Android distribution is announced separately when available.
2. Eligibility and account responsibility
You must provide accurate account information, keep your login and devices secure, and promptly revoke access you no longer control. You are responsible for activity carried out through your account unless caused by Merentra’s failure to use reasonable care.
3. Professional responsibility
Merentra supports administration, planning and evidence organisation. It does not replace professional judgement, employer instructions, an official rota, a curriculum, training programme, supervisor, progression panel, appraiser, responsible officer, designated body, regulator, clinical system, legal advice, tax advice or financial advice. Practice readiness and Training progress are organising aids—not appraisal outcomes, curriculum sign-off, ARCP decisions or revalidation recommendations. Opportunity relevance is not eligibility, endorsement or a prediction of success. Verify consequential information, deadlines, costs and requirements with the authoritative source.
4. Acceptable use
You must not use Merentra unlawfully, interfere with its security, attempt unauthorised access, upload malware, scrape or reverse engineer protected services, impersonate another person, or upload information you are not entitled to process. Do not add patient-identifiable information or clinical records to Work imports or notes.
5. Your content and permissions
You retain ownership of information you lawfully add. You grant Merentra the limited permission required to store, process, display, export and protect that information for the purpose of providing the service. You are responsible for having authority to upload or connect each source.
6. Imports, Mara and connected sources
Imports and Mara outputs are proposals until approved. Connected sources and trusted opportunity feeds are read only unless a separate, explicit service says otherwise. Merentra may identify conflicts, duplicates, likely mappings or relevance signals, but you remain responsible for reviewing the result. External providers and publishers can change or withdraw their services or content.
Private assessment and named feedback invitation links are intended only for the invited person and purpose and must not be forwarded. Possession of a private assessment link does not independently verify responder identity. A campaign website link or QR code is intentionally reusable and may be displayed or shared only for that campaign’s stated purpose. Each respondent receives a separate one-use session; you must not attempt duplicate, automated, abusive or fraudulent submissions.
Respondents must not submit patient-identifiable information, credentials, payment-card data or unrelated confidential material. Merentra does not guarantee that its questionnaire, invitation method, QR campaign or report is a validated regulatory instrument or independently administered process. Use the official employer, programme, designated-body or regulator route where required.
Opportunity information may be incomplete, stale, withdrawn or inaccurate. A relevance score or Mara draft is a planning aid only. Merentra does not guarantee eligibility, availability, selection, funding, employment or any outcome and does not apply, register, purchase, book, email, message, share evidence or accept terms on your behalf. You are responsible for verifying the source and controlling every external action.
7. Planning and value estimates
Travel, accommodation, work-value and similar calculations depend on assumptions you enter and may be incomplete or inaccurate. They are decision-support estimates, not tax, payroll, pension, legal, employment or financial advice.
8. Mobile and device disclosure
You control the disclosure mode for each paired device. You are responsible for choosing whether employer, activity, site or leave-by details should appear on a device or lock screen. Revoke lost or shared devices promptly.
9. Plans, fees and renewal
Plan price, billing period, included capability and renewal terms are shown during checkout or account setup. Organisation terms may be set out in a separate agreement. Failure or reversal of payment may suspend paid capability. Statutory cancellation and refund rights apply where required.
10. Organisation founding pilots
Organisation capability is available only through controlled onboarding and a separate organisation agreement. Organisation membership, funding or invitation does not give the organisation general access to a member’s private Work, Record, Practice, Training, Opportunities, Mara drafts, evidence files or individual feedback responses. Organisation roles are purpose limited. A member-owned summary may be accessed only through an active, scoped and expiring consent grant. The member may decline or revoke consent, subject to any separate lawful retention of organisation-owned records.
Organisation-owned records may include tenant administration, roles, seats, programmes, cohorts, placements, audit receipts and credentials issued by the organisation. Credentials remain pending until accepted by the member and may be revoked for a recorded reason. Public verification is limited to bounded credential claims and status. Formal progression, employment, regulatory and credential decisions remain the responsibility of the authorised organisation or body.
11. Availability and changes
We aim to provide a reliable service but may need maintenance, security changes or temporary restrictions. We may improve, replace or retire features where reasonably necessary. Material changes that significantly reduce a paid service will be communicated appropriately.
12. Intellectual property
Merentra and its licensors own the platform software, design, trade marks and service content, excluding your content and third-party materials. Membership grants a limited, personal, non-transferable right to use the service in accordance with these terms.
13. Suspension and termination
We may restrict or terminate access for serious or repeated breach, security risk, non-payment or unlawful use. You may stop using Merentra and use the available export and erasure controls, subject to legal retention and outstanding obligations.
14. Liability
Nothing in these terms excludes liability that cannot lawfully be excluded. Subject to that, Merentra is not responsible for employer decisions, missed shifts, professional or regulatory outcomes, loss caused by inaccurate source data, or indirect losses that were not reasonably foreseeable. Any further liability limits presented at checkout or in an organisation agreement form part of these terms.
15. Third-party services
Google, Microsoft, rota providers, opportunity publishers, payment services and other external platforms operate under their own terms. Merentra is not responsible for their availability, content, eligibility decisions or outcomes.
16. Governing law
These terms are governed by the law of England and Wales unless mandatory consumer law requires otherwise. The courts of England and Wales have jurisdiction, subject to any mandatory local rights.
17. Contact and changes
Use the support or contact route shown in your Merentra account or on this website. We may update these terms and will publish the current version and effective date here.
New accounts open only while evidence, capacity and support are current.
Merentra now uses one server-enforced gate for free registration, paid access and launch-stage promotion. Existing members keep access when the cohort is paused; new accounts reopen only after the live-acceptance run, named ownership and capacity controls allow it.
